ASSISTED LIVING ADMIN ASSISTANT – SURREY AND BURNABY

An exciting permanent part-time, opportunity exists for a highly organized, efficient, and energetic individual to join our Assisted Living Locations as an Admin Assistant. The AL Admin will work within a diverse team providing support to the Program Manager.

This role is best suited for an individual who has either social services background or general administrative experience supplemented with HR or business administration experience or education. The AL Admin must be an ambitious self-starter and team-player.

The successful candidate will perform a variety of administrative and accounting functions and manage projects as assigned. Maintain organizational and administrative systems; maintain all files; prepare correspondence, reports and other documents. Provide administrative assistance to the Assisted Living Department and would report to the Assisted Living Program Manager.

Responsibilities
Data Entry, Filing, and Organizing files and information
Create, modify, and maintain client and employee database
Assist Managers in completing administrative duties
Develop and maintain database/spreadsheet of information and maintain centralized filing systems for all information
Creating and updating schedules, doing shift coverage, and approving worked hours
Assist in the general day-to-day program administration and special projects, answer telephone system, take messages and transfer calls as appropriate.
Responsible for all things OHS related at both sites (assigning staff to do drills, helping with IR follow ups, etc)
Check supplies coming into the facility and inventory orders to ensure accuracy.
Order program supplies and compare pricing to ensure that the distributers are providing the lowest cost.
Schedule meetings as needed with stakeholders, employees, and tenants. Take meeting minutes as directed, type and distribute minutes to meeting attendees, follow up as needed.
Update and review accuracy of monthly expense ledgers for petty cash accounts, sort and file receipts.
Monitor, authorize, and allocate program expenditures within the operating budget. Assist senior management in preparing budgets and prepare the end of the month financial reports as needed.
Uphold the confidentiality of sensitive personal and Society information as per applicable Privacy Laws. Keep confidential information locked when not in use or not present. Ensure proper authorization has been granted prior to the release of any confidential information to a third party.

Qualifications
1+ years of administrative experience
Knowledge and experience with data bases
Knowledge and experience of administrative duties
Non-profit experience
Excellent written and verbal communication skills
Written and verbal command of English
Background in Social Services and/or in HR or Business Administration or equivalent
1+ years of administrative experience
Knowledge and experience with computer applications
Knowledge and experience of administrative and clerical duties
Keyboarding skills

Compensation: starting at $18.47-$21.51 per hour with possible increase after successful completion of six month probation and excellent benefits package upon completion of three month probation period.

Schedule is: Monday (Surrey) and Tuesday (Burnaby) 8am-3pm and Friday (Surrey) 8am to 2pm.

This schedule would be split up between two locations in Surrey and Burnaby.
